How to stop missing calls when you're on the tools

You can't answer the phone with your hands in a job — and that's where most tradies lose work. Here are five ways to stop it, from free to fully handled.

Here’s the problem every tradie knows: the phone always rings when your hands are full. Under a sink, up a ladder, in a roof cavity, halfway through a job you can’t just drop. By the time you’re free, the caller has moved on to the next name on Google.

You can’t be on the tools and on the phone. So the fix isn’t “answer more calls” — it’s making sure the calls you can’t take still get handled. Here are five ways to do that, cheapest first.

1. Turn on missed-call text-back (free–cheap)

The single highest-value fix. Any call that rings out instantly gets a text: “Sorry we missed you — what do you need done and what suburb?” Most people won’t leave a voicemail, but they’ll reply to a text. It turns a hang-up into a live lead you can deal with when you’re off the job. Many phone providers have this built in. (Full guide here.)

2. Set up a proper voicemail with a promise (free)

If you’re going to use voicemail, make it work harder. Skip “leave a message.” Say: “You’ve reached [business] — I’m on a job, but text me what you need and I’ll get straight back to you.” Giving people a faster option than a voicemail they know you’ll ignore actually gets you the lead.

3. Get a mate or a family member to catch overflow (low cost)

Some tradies route unanswered calls to a partner or a casual who can at least take details. It works at low volume — but it falls apart after hours, on weekends, and when several calls come at once. It also puts the job on someone who has their own life.

4. Use a virtual receptionist (ongoing cost)

A real person, off-site, answering under your business name. Fine for steady, business-hours call volume — but they cost more per call the busier you get, and after-hours (where you lose the most) costs a premium. (How it compares to AI here.)

5. Put an AI receptionist on your line (fully handled)

The version that actually solves it. A system answers every call, 24/7, in your business’s name — talks the caller through the basics, works out what they need, and books it into your diary. It doesn’t matter that you’re under a house or asleep; the call still gets answered, qualified and booked, and you get a text with the details. It handles the second and third caller at the same time, too. If you’ve wondered what putting AI to work in your business actually looks like, this is the clearest example.

Which one’s right for you?

If you’re just starting, turn on text-back today — it’s free and it plugs the biggest leak. If you’re losing real money after hours and during busy spells, the AI receptionist is the one that pays for itself.
