Speed to lead: why the first business to answer wins the job

When someone needs a tradie or a service, they don't call one business — they call three. The one that responds first usually wins, almost regardless of price. Here's why, and how to be first.

Here’s a rule that quietly decides who wins most jobs, and almost nobody talks about it: the first business to respond usually gets the work — often no matter who’s cheaper or better.

It’s called speed to lead: how fast you respond after someone reaches out. And the gap between fast and slow isn’t small.

Why the first responder wins

When someone needs a plumber, an electrician, an air-con service — or a lawyer, an accountant, an agent — they rarely call just one. They call two or three, or fill in a couple of online quote forms, and go with whoever gets back to them first and seems on top of it.

Two things are working in the fast responder’s favour:

  1. Relief. The customer has a problem they want gone. The first business to answer removes that stress, and they stop looking.
  2. Trust. “They answered straight away” reads as “they’re reliable.” Slow reads as “they’re flaky, or too busy for me.” You’re being judged on responsiveness before you’ve quoted a cent.

By the time the second business calls back an hour later, the job’s often already booked with someone else.

The numbers are brutal

Response-time studies across industries keep finding the same thing: replying within about five minutes versus even an hour can multiply your odds of winning the job many times over. Wait until the next day and, for most enquiries, you’ve lost. Yet most businesses take hours to respond to a web enquiry — and plenty never reply at all.

That’s the opportunity. Being fast isn’t a nice-to-have; it’s the cheapest competitive advantage available, and hardly anyone actually does it.

Why most businesses are slow

Not because they’re lazy — because they’re busy doing the work. You can’t reply to a web lead in five minutes when you’re under a house, on a roof, or with a client. The enquiry sits until you get a break, and by then it’s cold. The very thing that makes you good at the job (being hands-on) is what makes you slow to respond.

How to actually be first, every time

You don’t fix speed-to-lead with willpower — you fix it with a system that responds instantly whether you’re free or not:

  • Missed-call text-back so every unanswered call gets a reply in seconds. (Guide.)
  • Instant auto-reply on web and form enquiries — even a quick “Got it, we’ll be in touch within the hour” holds the lead while your competitors stay silent.
  • An AI receptionist that answers the call live, 24/7, and books the job on the spot — so you’re not just fast, you’re first and done while everyone else is still deciding whether to call back. This is what putting AI to work in your business looks like in practice.
